Every week, you’re meeting new people — through social media, networking events, virtual calls, and more. Each of these connections has the potential to turn into a client, a collaborator, or a future opportunity. But if you’re not tracking these connections, you’re leaving money, growth, and impact on the table.
Here’s the truth
Just because you have a CRM doesn’t mean it magically organizes itself. It’s only as powerful as the effort you put into it. That means:
Taking notes after every call, DM, or interaction.
Logging key details (who they are, what they need, and how you can support them).
Scheduling your follow-ups consistently.

If you don’t have a CRM yet, no worries. You can still keep things organized, and I’m going to show you how. Before I had a CRM, I used a simple form to track my conversations, follow-ups, and notes. It wasn’t fancy, but it was effective. I filled out almost 300 of these forms before I finally invested in a CRM — and by that time, it was EASY to transfer all my data.

How to Keep Your Contacts Organized (Without a CRM)
Here’s a step-by-step process to track every potential lead and opportunity:
Create a Contact Tracker
Use a simple form (Google Sheets, Excel, or printouts).
Add columns for: Name Contact Info (email, phone, social handle) Date You Met Notes From Your Conversation (What did they need? What did you offer?) Next Step (When will you follow up? What’s the goal?) Follow-Up Attempts (Mark off every attempt — DMs, calls, emails, etc.)
Log Your Conversations Daily
After every call, DM, or virtual chat, fill out the form immediately.
Don’t rely on your memory — trust me, it will betray you!
Make it part of your daily routine, like brushing your teeth or checking your email.
Create a Follow-Up Flow
Use different touch points to stay on their radar:
Tag them in social media posts relevant to their business. Shout them out on your stories or LinkedIn.Send voice messages instead of texts for a personal touch.Schedule a follow-up call or DM to check in and see how they’re doing.
Track Your Follow-Ups
Remember: Most people need 7-12 touches before making a purchase.
Create your own system to track where you are with each person.
Follow up every day with a set number of people (5, 10, 20 — you choose).
For Those Who Already Have a CRM
Don’t get too comfortable. Just because you have a CRM doesn’t mean it’s doing all the work. If you’re not actively updating it with your daily notes, it’s not serving you. Take the time each day to:
Enter all your call notes.
Add any new prospects, no matter how small the interaction.
Set follow-up reminders to keep conversations moving forward.
This small daily habit will keep you ahead of the game.
